Head of Administrative Division

 

Mission

The division’s mission is to ensure the delivery of accounting, administrative, logistics, IT, and library services, and to support teaching, students, internationalisation, and the right to higher education at the Rimini campus. The division also oversees the management of teaching planning and the learning activities of degree programmes, while ensuring support for research activities, in agreement with the departments and organisational entities as per the University Statute.

Furthermore, it ensures the usability and adequacy of spaces and provides support for Third Mission activities, as well as oversight and coordination of communication and the organisation of events related to the promotion of the results of scientific research. The division also develops and manages entrepreneurship initiatives, in liaison with the Third Mission division, and coordinates and manages information for local, national, and international media regarding the Romagna campuses, in compliance with guidelines issued by the Rector and by academic bodies, while ensuring maximum transparency, clarity and timeliness, and contributing to the management of the online magazine UniboMagazine.

Main activities

  • Managing general affairs and supporting campus bodies (Campus Council and President; Councils and Heads of organisational entities as per the University Statute).
  • Managing the elections held at the campus.
  • Managing document flows and records.
  • Overseeing external, internal, and institutional communication.
  • Managing incoming and ongoing guidance processes, in collaboration with the degree programmes, the General Administration divisions, and local institutions.
  • Managing career guidance, internships and placements, in collaboration with the degree programmes, the General Administration divisions, and local institutions.
  • Managing student records and academic progress.
  • Coordinating degree programme design, teaching planning, and quality assurance for campus courses, in collaboration with schools, departments, degree programmes and General Administration divisions.
  • Ensuring support for teaching activities.
  • Ensuring administrative support for international mobility.
  • Ensuring liaison with the education division and other campus divisions regarding the activities of teaching service units, with a particular focus on coordination with relevant departments.
  • Overseeing interventions and benefits for the right to higher education.
  • Managing the planning and procurement process of goods and services to meet the needs of divisions, degree programmes, UOS (Local Organisational Units), and research groups that have entrusted their funds to the division, of organisational entities provided for by the University Statute, as well as of other organisational entities without management autonomy.
  • Managing the division’s spaces, consumables, and movable assets.
  • Managing the financial planning and accounting for the division, for budgets available to degree programmes, research projects, and organisational entities as per the Statute, as well as other organisational entities without management autonomy, and ensuring accounting services to support research groups that operate on campus.
  • Ensuring administrative and accounting services to support institutional research projects, commissioned research, training, international cooperation, internationalisation, and Third Mission projects developed at the site, and to meet the needs of UOS, research groups, organisational entities as per the Statute, and other organisational entities without management autonomy.
  • Developing and managing entrepreneurship initiatives, in liaison with the Third Mission division.
  • Collaborating in synergy with the General Administration on the oversight and coordination of communication and the organisation of events aimed at promoting the results of scientific research.
  • Managing contracts and compliance for transparency purposes and to prevent corruption.
  • Ensuring compliance related to data processing and access to records and data, in collaboration with General Administration divisions.
  • Overseeing the administrative management of the division's professional staff, contributing to the planning, design, delivery, and evaluation of professional training and development.
  • Managing the administrative and accounting processes for the recruitment, selection, and remuneration of various categories of non-permanent staff to meet the requirements of degree programmes, campus projects, UOS, research groups, organisational entities as per the Statute, and other organisational entities without management autonomy (e.g. research fellowships; professional, occasional, and non-occasional self-employment assignments under Art. 2222 et seq. of the Italian Civil Code and pursuant to Art. 7, paragraph 6 of Legislative Decree 165/2001 as amended; postgraduate research scholarships; scholarships for the continuing education of young graduates; tutoring grants; seminar and conference assignments, etc.).
  • Ensuring the administrative management of internships, civil volunteers and part-time students.
  • Managing workplace accident procedures for the division's professional staff, non-permanent staff with a legal relationship with the division (e.g. collaborators, research fellows), and campus students.
  • In liaison with the relevant General Administration division, providing bibliographic information services to support teaching and research for students and teaching staff of degree programmes offered at the campus, overseeing the acquisition and management of book collections and delivering services through the Central Campus Library to enhance accessibility and use.
  • Managing campus networks, systems, applications, help desk services, support, IT security, electronic waste management, and ICT procurement.
  • Managing e-learning, telephone services, and campus computer facilities, in collaboration with the General Administration divisions.
  • Collaborating with the logistics and maintenance division to identify the needs of the organisational entities at the campus sites, preparing technical specifications, collecting service delivery feedback, and certifying the correct execution of contracts.
  • Collaborating with the logistics and maintenance division in managing utilities, specifically regarding the inventory of existing supply points and the monitoring of consumption.
  • Coordinating, planning and managing the provision of information to the press across the Romagna campuses in collaboration with the Rector and heads of administration;
  • Promoting institutional events, initiatives and projects organised in the Romagna campuses.
  • Sourcing and disseminating information on teaching, research, and initiatives across the Romagna campuses to the national and international press, in liaison with the University communication unit.
  • Showcasing research activities and outstanding achievements from the Romagna campuses in the media.
  • Writing and distributing press releases (at the local, national, and international level) and organising press conferences to inform the public about initiatives at the Romagna campuses.
  • Managing media relations and maintaining contact databases for the Romagna campuses.
  • Managing official communication initiatives for the Romagna campuses, in agreement with the General Management Office and University governance.
  • Producing special news reports on events involving the Romagna campuses, managing relations with public and private entities, the media, and the Italian Communications Regulatory Authority.
  • Contributing to the management of the online magazine UniboMagazine.
  • Coordinating operational units and/or working groups with similar or complementary expertise.
