Head of Administrative Division
Mission
The division’s mission is to ensure accounting, administrative, logistics, IT, library, and teaching support services, as well as services for students, internationalisation, and right to higher education benefits at the Ravenna campus.
The division also oversees the management of teaching planning and the learning activities of degree programmes, while ensuring research support and projects funded under competitive programmes, in coordination with the organisational entities as per Article 25 of the Statute and General Administration offices.
Furthermore, it ensures the usability and adequacy of facilities.
In addition, the division supports Third Mission activities and fosters the promotion of scientific research results; working with campus and General Administration offices and in liaison with the University communication unit, the branch ensures the oversight and coordination of communication and events across the Romagna campuses related to the promotion of research outcomes. It also develops and manages entrepreneurship initiatives, in liaison with the division responsible for the Third Mission.
Finally, the division provides administrative and accounting services and support to academic bodies and to teaching, research, and technical staff, as well as non-permanent staff at the Interdepartmental Research Centre for Environmental Sciences (CIRSA).
It acts as a liaison with the other campus divisions in order to:
- identify general infrastructure-related needs;
- plan and directly manage the above-mentioned maintenance activities for all organisational entities operating at the Romagna campuses;
- coordinate the most important building works, together with the above mentioned maintenance activities, while ensuring continuous liaison with the competent central technical division, in order to guarantee the proper planning and implementation of the interventions.
Main activities
- Managing general affairs and supporting campus bodies (campus Council and President; Councils and Heads of organisational entities as per the Statute and the Inter-Departmental Research Centre for Environmental Sciences – CIRSA).
- Managing the elections held at the campus.
- Managing document flows and records.
- Overseeing external, internal, and institutional communication.
- Managing incoming and ongoing guidance processes, in collaboration with the degree programmes, the General Administration divisions, and local institutions.
- Managing career guidance, internships and placements, in collaboration with the degree programmes, the General Administration divisions, and local institutions.
- Managing student records and academic progress.
- Ensuring degree programme design, teaching planning, and quality assurance for the programmes offered in Faenza and Ravenna, in coordination with schools, departments, degree programmes, and General Administration divisions, based on specific budgets assigned (e.g. teaching planning/tutoring) or transferred (formerly BDSS and internationalisation funds) to the campus.
- Ensuring support for teaching activities.
- Ensuring administrative support for international mobility.
- Ensuring liaison with the education division and other campus divisions regarding the activities of teaching service units, with a particular focus on coordination with relevant departments.
- Overseeing interventions and benefits for the right to higher education.
- Managing the planning and procurement process of goods and services below the EU threshold to meet the needs of divisions, degree programmes, UOS (Local Organisational Units), and research groups that have entrusted their funds to the division, of organisational entities described in the University Statute, as well as of other organisational entities without management autonomy.
- Ensuring the planning and management of procurement for the Interdepartmental Research Centre for Environmental Sciences (CIRSA) within the framework defined by its governing bodies.
- Managing the division's spaces, consumables, and movable assets, and supporting the management of the Interdepartmental Research Centre for Environmental Sciences (CIRSA) in managing their consumables and movable assets.
- Managing the financial planning and accounting of the campus division and of the Interdepartmental Research Centre for Environmental Sciences (CIRSA), the budgets available to the degree programmes, research projects, and organisational entities as per the Statute, as well as other organisational entities without management autonomy, and ensuring accounting services to support research groups that operate on campus.
- Providing administrative and accounting services for institutional, commissioned research, training, international cooperation, and internationalisation research projects at the site, liaising with relevant General Administration divisions for the needs of research groups, of organisational entities as per the Statute, of other organisational entities without management autonomy, and the Interdepartmental Research Centre for Environmental Sciences (CIRSA).
- The division also develops and manages entrepreneurship initiatives, in liaison with Third Mission-related functions.
- Collaborating in synergy with the General Administration on the oversight and coordination of communication and the organisation of events aimed at promoting the results of scientific research.
- Managing contracts and compliance for transparency purposes and to prevent corruption.
- Ensuring compliance related to data processing and access to records and data, in collaboration with General Administration divisions.
- Managing the administrative affairs of the division's professional staff and of the technical staff of the Interdepartmental Research Centre for Environmental Sciences (CIRSA), contributing to the planning, design, delivery, and evaluation of professional training and development.
- Managing the administrative and accounting processes for the recruitment, selection, and management of various categories of staff to meet the requirements of degree programmes, local research projects, research groups, organisational entities as per the Statute, other organisational entities without management autonomy, the campus division, and the Interdepartmental Research Centre for Environmental Sciences (CIRSA) (e.g. research fellowships; professional, occasional, and non-occasional self-employment assignments under Art. 2222 et seq. of the Italian Civil Code and pursuant to Art. 7, paragraph 6 of Legislative Decree 165/2001 as amended; postgraduate research scholarships; scholarships for the continuing education of young graduates; tutoring grants; seminar and conference assignments).
- Ensuring the administrative management of internships, civil volunteers and part-time students.
- Managing workplace accident procedures for the division's professional staff, non-permanent staff with a legal relationship with the division (e.g. collaborators, research fellows), and campus students.
- Supporting the management of non-permanent staff and external visitors (national and international) at the campus and at the Interdepartmental Research Centre for Environmental Sciences (CIRSA).
- Managing and monitoring the budget of the Interdepartmental Research Centre for Environmental Sciences (CIRSA) and its own income, in line with the governing bodies' directives.
- Supporting activities related to funding for research and scientific training by providing legal advice and support for the signing of contracts, agreements, and all research-related arrangements for the Interdepartmental Research Centre for Environmental Sciences (CIRSA) and other organisational entities as per the Statute, in close coordination with other General Administration divisions.
- Managing contracts, research projects, and financial reporting, including internal and possible financial audits for the Interdepartmental Research Centre for Environmental Sciences (CIRSA) and other organisational entities as per the Statute.
- In liaison with the relevant General Administration division, providing bibliographic information services to support teaching and research for students and teaching staff of degree programmes offered at the campus, overseeing the acquisition and management of book collections and delivering services through the Central Campus Library to enhance accessibility and use.
- Overseeing networks, systems, applications, help desk and support, IT security, ICT procurement, and e-waste management for the Ravenna campus.
- Managing e-learning, telephone services, and campus computer facilities, in collaboration with the General Administration divisions.
- Overseeing maintenance and logistical services, coordinating all infrastructure works at the Romagna campuses, and acting as liaison between these campuses to identify initial needs, while collaborating with the Technical, Constructions and Sustainability Division to plan, secure funding for, and carry out the works.
