Mobility check list: administrative and academic instructions for beneficiaries.

 

 

Scholarship management and coverage

The scholarship is jointly managed by the coordinator, University of Bologna (Alma Mater Studiorum), and the host university. The host university is in charge of the academic matters related to the scholarship and of the scholarship instalment. The payment of monthly allowances is due only on periods of study/research/work at the host university. The transfer of the scholarship is due by the host university on a regular basis, normally at the beginning of each month and anyway according to the internal procedures of the host university. Mobility must start by December 31st, 2011 with the exception of Academic staff. Scholarships cannot be issued after the closing date of the project, January 14th , 2014, according to the Grant Agreement signed with the EU Commission.

Full PhD only:

The length of the scholarship may not correspond to the actual duration of the PhD program (the PhD programme can be longer). EADIC II can finance up to a maximum of 34 monthly allowances. The number of allowances is calculated on the basis of the starting date of EADIC II mobility and corresponds to the total amount of months till January 14th, 2014.

The scholarship consists of :

Subsistence allowance

The European host university provides a subsistence allowance according to the type of mobility for the duration of the mobility grant.

Type of mobility: Sandwich PhD
Allowance amount per month: 1.500€

Type of mobility: Full PhD
Allowance amount per month:1.500€

Type of mobility: Post doc
Allowance amount per month:1.800€

Type of mobility: Academic Staff
Allowance amount per month:2.500€

Insurance (accident, travel, health)

The grantee is provided with full insurance coverage (accident, travel, health) for the duration of the mobility grant by the project coordinator, University of Bologna. The insurance policy fulfils all the minimum requirements set by the Erasmus Mundus programme 2009-2013.
Send a copy of the e-ticket to diri.eadic@unibo.it for the issuing of the insurance policy.

Travel costs

The scholarship covers one return ticket (Argentina – Europe – Argentina), provided by the project coordinator through a travel agency in Argentina.
After agreeing the period of mobility with the host university the grantee must: communicate the mobility dates to the coordinator, University of Bologna at diri.eadic@unibo.it, contact the following travel agency in charge of travel arrangements and send them the travel arrangements info excel file dully filled out (please download the file from this page):

The ticket is covered directly by the project for a maximum of 2.000,00 Euro or 2.500,00 Euro, according to the distance between home and host university.
The grantee is required to save all original invoices (boarding passes), as they are needed for accounting, and submit them to the coordinator as follows:

  • upon arrival in Europe, the grantee must send a scanned copy to diri.eadic@unibo.it or via fax at + 39 – 051 – 2098110 within 3 days from arrival and hand in the original boarding passes to the host university.
  • upon arrival in Argentina, the grantee must send a scanned copy to diri.eadic@unibo.it or via fax at + 39 – 051 – 2098110 within 3 days from arrival and send by registered mail the original boarding passes to:

If the grantee fails to provide the original boarding passes as required within 20 days from return (date as postmark), the coordinating institution is entitled to charge the flight ticket expenses.

Tuition fees

In case of fee charge at the host university, this amount is covered directly by the project. However, the host university must apply a fee waiver policy if mobility lasts less than 10 months.

 

Mobility check list

Here is a mobility check list to support grantees through the planning and implementation of mobility. Please comply to the following described procedures and do not hesitate to contact us at diri.eadic@unibo.it, should you need further assistance.

Before mobility: to do list

The grantee must:

  • print, sign, scan and send the Acceptance letter to diri.eadic@unibo.it;
  • contact the host university to agree the mobility period and start organizing mobility;
  • inform the coordinator about the starting date of mobility in order to organize travel and insurance as described above;
  • contact the travel agency to make travel arrangements, as described above;
  • apply for a VISA (Schengen VISA recommended) and collect all other documents required by the host university, if any.

The Sandwich PhD grantee must fill out the "Sandwich PhD agreement" (please download the file from this page). This document must be signed by the grantee and the supervisors at home and host universities and must be delivered to the official EADIC II contact person at the home university before departure. A scanned copy of the "Sandwich PhD agreement" dully filled out and signed by all parties must be sent to diri.eadic@unibo.it.

The Post Doc grantee must fill out the "Post doc work plan" (please download the file from this page). The document must be signed by the grantee and the supervisors at the host university and must be delivered to the official EADIC II contact person at the home university before departure. A scanned copy of the "Post doc work plan" dully filled out and signed by all parties must be sent to diri.eadic@unibo.it.

The Academic Staff grantee must fill out the "Academic Staff work plan" (please download the file from this page). The document must be signed by the grantee and the supervisors at the host university and must be delivered to the official EADIC II contact person at the home university before departure. A scanned copy of the "Academic Staff work plan" dully filled out and signed by all parties must be sent to diri.eadic@unibo.it.

Full PhD grantees must fulfil the enrolment requirements set by the host university and submit all required official supporting documents before starting the mobility or according to the internal rules of the host university.

After arrival in Europe: to do list

The grantee must meet the EADIC II contact person at the host university in order to:

  • register at the host university if not already done;
  • submit the original boarding passes of the flights to Europe;
  • sign the EADIC II arrival certificate and send a scanned copy to diri.eadic@unibo.it;
  • receive information about registration in the host country according to the instructions given by the host university (residence permit or any other registration procedures);
  • receive information about opening a bank account (this might not apply to Academic Staff).

Grantees also have to fill out the evaluation questionnaire Quality 1 (the link will be provided by coordinating institution) to monitor the organisation of mobility and send the final "thank you page" to diri.eadic@unibo.it.
The host university is in charge of providing and supporting the grantee with all practical information connected to the stay such as housing, city information, settlement costs, student services and facilities and all other useful information about mobility in the host country.
During the period spent at the host university, the grantee must comply to the rules of this institution according to different levels. When applicable (structured PhD programme), the grantee must fully participate to all components of the courses of study during the entire period of the scholarship, including the fulfilment of exams, necessary re-sits and evaluations.
In case of non structured programmes (with exclusion of short Academic Staff mobility), the grantee is required to submit a progress report of carried out activities and achieved results, co-signed by her/his supervisor at the host university every 3 months. This report must be submitted to the official EADIC II contact person at the host university (please find the templates on this web site).

End of mobility: to do list

The grantee must:

  • meet with the EADIC II contact person at the host university to sign the departure certificate;
  • fill out the evaluation questionnaire Quality 2 (the link will be provided by coordinating institution) and send the final "thank you page" to diri.eadic@unibo.it;
  • produce the final report (please find the templates on this web site) and any mobility output or certificate provided by the host university;
  • for Sandwich PhD, Post doc and Academic Staff only: provide a copy of the definitive "Sandwich PhD agreement", "Post doc work plan", "Academic staff work plan", if any changes have occured.

The above mentioned documents must be submitted to the official EADIC II contact person at the home university (only TG1) and a copy must be delivered to:

together with original boarding passes of return flights.
A scanned copy of each must be submitted to diri.eadic@unibo.it.

The grantee is required to deliver the above mentioned documents within 20 days from arrival in Argentina (date as postmark). The failure to comply to the listed requirements entitles the coordinator to ask for the full refund of the last scholarship instalment.
