What to do BEFORE LEAVING

Find here the next steps you have to carry out to organize your AMIDILA mobility before leaving your Home country.

The first and the second steps must be carried out by all grantees.

The third step changes according to the following mobility levels:

FIRST STEP – Apply for your VISA

You may have to apply for a VISA to enter and live in the Host country where your Host University is placed.

 In order to apply for a VISA you must contact the Consulate of your Host country placed in your Home country and ask for the complete list of documents required to apply for a VISA.

Just as a reference, the following are the documents generally required:

  1. Valid passport
  2. Invitation Letter issued by your Host University
  3. Insurance certificate. We, as AMIDILA coordinator, will send you this certificate according to Travel and Insurance Form (TIF). See SECOND STEP.
  4. Flight reservation. We, as AMIDILA coordinator, will book and buy your flight through our Travel Agency. See SECOND STEP.
  5. Any other document that may be required by the Consulate

 Please get in contact with your Host University to get all information and support for obtaining your VISA.

VISA is not always a mandatory producere to be carried out, it depends on your nationality, on the Host Country and on the bilateral agreement between your Home Country and your Host Country. The Host University will guide you through the process.

The following are some examples when a VISA is not required:

  1. You are a Latin American citizen with a double citizenship and therefore a valid passport issued by one of the 28 Member Countries of the European Union. In this case you do not need to apply for a VISA in order to enter and live in Europe.
  2. You are a Staff staying in Europe for 1 or 2 months. In almost all cases you can enter your Host Country with your valid passport that allows you to stay in the Host Country up to 3 months (90 days). The only exception to this case may be Ireland, being not a member of the Schengen Area.
  3. In some countries in Latin America the VISA and Residence Permit are managed once arrived in the Host Country (e.g. Costa Rica), therefore you do not need to apply for a VISA before leaving. However you will be required to bring with you some documents to be issued in your Home Country. Your Host University will guide you through the process. 

 

SECOND STEP – Your flight and your Insurance

 Flight: through our Travel Agency, we will book and buy your flight according to the rules and regulations specified in the Information Sheet and Scholar Contract you have signed and accepted.

 Insurance: we will issue a travel insurance according to your Travel and Insurance Form (TIF).

In order to proceed with the flight reservation and insurance, please find in the Download section the Travel and Insurance Form (TIF): you must fill it out, sign it and send it back to us. You will find in the Form itself the Instructions to be followed in order to send us back the document.

 Once you have sent us the TIF:

  • the Travel Agency will proceed with the booking.
  • we, as AMIDILA coordinator, will proceed with the travel insurance

 At the end of the process you must:

  • Receive an Electronic ticket by our Travel Agency
  • An Insurance declaration by us

 

THIRD STEP – Undergraduate and Master Exchange

LEARNING AGREEMENT

 The Learning agreement is the document that establishes the academic activities you will carry out during your AMIDILA mobility in your Host University and how these will be recognized by your Home University.

 The Learning agreement must be fill out by the student and signed by all parts involved before leaving.

 It is a fundamental document and it must be mandatory produced and submitted to the AMIDILA coordinator in due time. We need to receive a scanned copy of your complete Learning agreement (duly filled out and signed by all parts) via e-mail. You do not need to submit the original. So you can work it simply by e-mail.

 Please find the template to be used in the Download section. You are required to:

  • fill out and sign your Learning agreement;
  • make it signed by your Home University;
  • make it signed by your Host University (you can send by e-mail a scanned copy to the Host University and get it back by e-mail);
  • send the complete document to diri.amidila@unibo.it .

 Once arrived at the Host University it will be always possible to change the Learning agreement.

 Be aware that for every single change a new and complete Learning Agreement must be produced and approved by all the parts involved and the new complete version must be sent to diri.amidila@unibo.it .

 

Third step - Undergraduate and Master Full Degree

Please get in contact ASAP with your Host University in order to receive full information about the process to register as Full degree students at their Institution.

 This process may require you:  

  • to produce some official documents in your Home Country before leaving. Examples: legalized and translated diplomas of your University titles, legalized Transcript of Records, etc.
  • to go through a registration process including registering in online databases by a certain deadline, etc.

 

 Third Step - Doctorate and Post Doctorate Exchange

Research Plan Agreement

The Research Plan Agreement is the document that establishes the academic activities you will carry out during your AMIDILA mobility in your Host University.

 The Research Plan Agreement must be fill out by the scholar and signed by all parts involved before leaving.

 It is a fundamental document and it must be mandatory produced and submitted to the AMIDILA coordinator in due time. We need to receive a scanned copy of your complete Research Plan Agreement (duly filled out and signed by all parts) via e-mail. You do not need to submit the original. So you can work it simply by e-mail.

 Please find the template to be used in the Download section. You are required to:

  • fill out and sign your Research Plan Agreement;
  • make it signed by your Home University
  • make it signed by your Host University (you can send by e-mail  a scanned copy to the Host University and get it back by e-mail);
  • send it back to diri.amidila@unibo.it

 Once arrived at the Host University it will be always possible to change the Research Plan Agreement.

Be aware that for every single change a new and complete Research Plan Agreement must be produced and approved by all the parts involved.

The Work Plan Agreement is the document that establishes the academic activities you will carry out during your AMIDILA mobility in your Host University.

 The Work Plan Agreement must be fill out by the Staff and signed by all parts involved BEFORE leaving.

 It is a fundamental document and it must be mandatory produced and submitted to the AMIDILA coordinator in due time. We need to receive a scanned copy of your complete Work Plan Agreement (duly filled out and signed by all parts) via e-mail. You do not need to submit the original. So you can work it simply by e-mail.

 Please find the template to be used in the Download section. You are required to:

  • fill out and sign your Work Plan Agreement;
  • make it signed by your Home University
  • make it signed by your Host University (you can send by e-mail  a scanned copy to the Host University and get it back by e-mail);
  • send it back to diri.amidila@unibo.it

 Once arrived at the Host University it will be always possible to change the Work Plan Agreement.
