Selection procedure

Step 1: Eligibility Check

The Home University will do an administrative check whether its applicants (TG 1- students and staff) are entitled to apply for Erasmus Mundus Action 2 WEBB project, according to EACEA rules and WEBB project rules.

Specifically the Home University will check :

a) the eligibility of the applicant in relation with the EM Action 2 eligibility criteria;
b) that the applicant is registered at or employed by the home university;
c) the completeness and authenticity of attached documents, including their translation.

In case applications are "not eligible" and therefore cannot be accepted, reasons for rejection will be clearly justified.

For TG 2 and TG 3 applicants, the eligibility check will be carried out by a WEBB-partner University. In this case only point a) and c) will be checked.

Rejected candidates will be notified by email in February. The email will include the reason of the rejection and the instructions for appealing, in case the reason for rejection is not considered as valid. Candidates will have 5 days for appealing against the rejection.


Step 2: Evaluation by Home and Host Universities

Eligible applications will be reviewed and ranked by Home and Host universities.

The ranking results will be based on the evaluation of academic merit, motivation statement, language competence and all the supporting documents uploaded to the application.

Rejected candidates will be notified by email. The email will include the reason of the rejection and the instructions for appealing, in case the reason for rejection is not considered as relevant. Candidates will have 5 days for appealing against the rejection.


Step 3: Allocation of Scholarships

After the ranking procedure (step 2) has been completed, the allocation of the scholarships will be carried out taking into account the following general criteria:

- position of the candidate in the ranking;
- distribution of scholarships per country, type of mobility and target group according to the budget approved by the EACEA;
- distribution among host universities;
- disadvantaged groups will be favoured;
- priority will be given to applicants who have never received an EMA2/EMECW scholarship;
- balance of fields of study;
- gender balance.


Step 4 Announcement of Selection Results

In May 2013 the consortium will inform applicants about the selection results.

Selected candidates receive by email a letter of nomination and acceptance letter providing information about the selection results and requesting to accept or reject the scholarship.

The scholar will receive also a  grant agreement which describes the financial aspects administrative aspects and academic aspects related to the scholarship. The scholar grant agreement will be provided with an information package. It will include an information sheet providing basic logistic information about the organization of the mobility  and a mobility checklist that lists the steps that grantee needs to take prior, during and after the mobility period.
