REQUIRED DOCUMENTS MASTER AND UNDERGRADUATE EXCHANGE STUDENTS
Proof of registration Document issued by your home university stating that you are currently enrolled
Transcript of records Official record issued by the home university showing courses the student has taken and grades achieved
Official Language Certificate Must be issued by an official language school, University or equivalent; it must state the level of language proficiency. If the language proficiency can be proved by an exam included in you transcript of records, it can be accepted unless the Host University requires a specific language test certificate. Please check the requirements of the University you are applying for.
Draft study plan Must contain the academic activities you want to carry out at the Host Institution. Check the academic offer available in the Host University you want to apply for, and fill in this document. It must be signed at least by the student and the academic supervisor at the Home University. You should draft a separate study plan for each chosen host University (first and second choice). See template: Study Plan
Motivation statement It must explain why you would like to study at the chosen host universities and motivate your draft study plan.

Proof of socio economic disadvantaged situation (if applicable)

Official document(s) giving proof that you belong to a socio-economically disadvantaged group (e.g. disability or economic disadvantage). Official proof is for example medical certificate or certificate indicating that applicant receives financial support (bank statements are not accepted). See further explanation in the Faq section

Proof of TG 3 status (mandatory for TG3 applicants) Documents proving that you belong to one of the vulnerable groups described as TG3

Transcript of records of master studies Transcript of records of your master studies or equivalent, which gives access to PhD studies.
Official language certificate Must be issued by an official language school, University or equivalent; and it must state the level of language proficiency. Please check the language requirements of the University you are applying for.
Study and research plan

For PHD exchange students: must contain the outline of your current research, and specify the activities you want to carry out at the Host Institution (between 1500 and 2000 words); See research plan template for exchange students
For PhD degree seeking students: the research proposal must outline the PHD topic, the key research questions and objectives, the methodology and a short bibliography. The research proposal should be between 1500 and 2000 words, and should include a working title of the topic area (no template available for PhD  degree applicants).

Motivation statement It must explain why you would like to study at the chosen host universities and study programme, how it integrates in your current research activities, how it will benefit your professional placement and future career; it is necessary to specify if you apply for an exchange period of 1 or 2 semester or for a degree title (36 months mobility)
Letter of interest by Host University (if requested by host university) Declaration signed by the Head/coordinator of the PhD programme at the host university, stating that the candidate is eligible for admission to the PhD programme in case he or she is selected(specifying if it is short mobility or full degree)

Research/ activity plan Must outline the research and academic activities to be carried out at the hosting university. The research plan should be between 1500 and 2000 words, and should include a working title of the topic, objectives, the methodology and a short bibliography. See activity plan template
Motivation statement Please explain what are the activities you would like to carry out at the chosen Host University and why
Letter of interest by Host University Declaration signed by the Head of the corresponding research unit at the host university, stating that the candidate is eligible for a collaboration in the Host University in case he or she is selected
Letter of Institutional support by home University (mandatory only for TG1) Issued by the home University specifying the academic interest of the proposed mobility for the home University  and ensuring the re-integration of the grantee at the end of the mobility

Proof of registration Document issued by your home university stating that you are working at the University

Work plan Must contain the outline of the planned training, teaching, research and/or cooperation activities (1500-2000 words). See work plan template
Motivation statement Please explain the reasons for choosing the host university; the impact and relevance of your mobility for your home university; the expected collaboration outcomes of your mobility, etc
Letter of Institutional support Issued by the home University specifying the academic interest of the proposed mobility for the home University and ensuring the re-integration of the grantee at the end of the mobility
Letter of interest by Host University Declaration signed by the Head of the corresponding research unit / administrative office at the host university, stating that the candidate is eligible for a collaboration in the Host University in case he or she is selected
